PTO Committee Descriptions

    President Committee:

    Teacher Grants: Reaches out to Station Teacher liaison for any staff grant requests on a regular basis. Submit requests for Dr. Paul for review. Present all requests to the Executive board prior to the general meeting.

    Time Commitment: Moderate 

    Reports to: President

    Grant Writing: Researches local grants that the PTO may be eligible for. Assists staff with finding local grants and deadlines for grants.

    Time of Year: Ongoing

    Time Commitment: Low- Moderate 

    Reports to: President

    Mindful Waste: Monitors lunchroom food collections. Works with the Staff and Counseling Department first for food donations and second with Cuba Township Food Pantry for any surplus food donations. Ensures no food is left on campus over extended breaks.

    Time Commitment: Low/Moderate

    Reports to: President

    1st Vice President Committee

    School Fundraiser: Seeks financial support from parents to help the school make purchases that are beyond the school budget. Designs and executes a yearly campaign, including promotional materials. Meets with the principal to decide on the item(s) for the current school year or makes a long-term plan. Organizes campaign kick-off at Back to School Night.

    Time Commitment: Moderate

    Reports to: 1st Vice President 

    School Supplies: Obtain bids for school supplies required for each grade by the school for the following school year. Obtain samples from the company to verify the quality and standards with grade team leaders and principal. Finalize contract and set pricing. Set-up ordering platform via RevTrak or the company’s online system. Announce and promote sale, place order, receive and distribute packs. Offer on-going support for the replacement of defective items. Note: Contract to be reviewed by the Executive Committee before being executed.

    Reports to: 1st Vice President

    Spirit Wear: Coordinates design of items to be offered with the supply company. Sets pricing, prepares flyers and sells BMS Station apparel.

    Time Commitment: Low-Moderate

    Reports to: 1st Vice President

    Incoming 6th Grade t-shirt: Designs the shirt, prepares flyers, works with PTO President to create Revtrak build to sell shirts. Promote sales and coordinates distribution for next fall. 

    Time of Year: April and August-October. 

    Time Commitment: Low

    Reports to: 1st Vice President

    Passive Fundraising: Promote and manage Amazon Smile and Heinen’s fundraising. At PTO meetings, assist members with setting up accounts so BMS receives the donations. Coordinate Dine In/Out fundraising. Collect Box-Tops.

    2nd Vice President Committee

     

    8th Grade Year End: Organizes and runs the 8th Grade Year End Dance and decorates the stage for the 8th Grade Recognition Ceremony. Gets Executive Board approval for all contracts. Coordinates activities with principal. Coordinates design, creation and sales of 8th grade t-shirts. Organizes and runs in partnership with the school for an end of the year school picnic.

    Time Commitment: Moderate

    Reports to: 2nd Vice President

    8th Grade Video: Takes pictures throughout the year and contracts for the creation of a video for 8th graders. Solicit pictures from parents, students and teachers and create a place(s) to store pictures. Contract must be approved by the Executive Board and pictures must be pre-approved by the Assistant Principal. Coordinates distribution of video at the Recognition Ceremony with Principal's Administrative Assistant.

    Reports to: 2nd Vice President

    7/8th Grade Dance; 7th Grade Event; 6th Grade Dance: For each of these events, the chair and committee members pick themes, organize, promote and run the gathering. Tasks include coordinating dates with Assistant Principal at the beginning of the year, designing promotional materials, setting up Revtrak and soliciting volunteers/donations. 6th and 7/8th Grade Dances are coordinated and hosted alternatively with Prairie.

    Time Commitment: Moderate/High (during the planning and time of event)

    Reports to: 2nd Vice President

    6th Grade Pool Party: Schedule, plan, promote and run the event with Barrington Park District. Communicate throughout the process with Teacher Lead about the event. Coordinates timing with Prairie and around Camp 6th grade. 

    Time of Year: April (of current school year) and August (following school year)

    Reports to: 2nd Vice President

    Ski Club: Coordinates and facilitates ski programs with Prairie and Barrington Park District. Coordinate safety and ski helmet program. Arrange and help run ticket sales during lunch periods. 

    Time of Year: November through March

    Time Commitment: Moderate

    Reports to: 2nd Vice President

    Snowflake: Act as liaison between Station Snowflake Committee and the PTO. Coordinate PTO volunteers to assist with the running of the event. 

    Time of Year: December through January 

    Time Commitment: Moderate/High (on the week of the event)

    Reports to: 2nd Vice President


    Secretary Committee:

    E-Team Newsletter/Website/Social Media: Works with committees collecting information for the weekly newsletter and stays abreast of current events on the school calendar and community to incorporate into the newsletter. Designs the weekly newsletter using Smores software. Submits draft to PTO President or Secretary for final review. 

    Website: Coordinates with PTO Board to update and maintain the PTO Station section in the school website. 

    Social Media Liaison: Keeps abreast of all Station and PTO events and updates FB and Twitter. Follows District 220 and Station feeds and reposts/tweets as deemed appropriate. Maintains relationship with Newsletter and Website committees for consistent messaging.

    Reports to: Secretary

     

    Beautification: Coordinates maintenance of the planters in front of the school and the courtyard.

    Time of Year: Ongoing

    Time Commitment: Low

    Reports to: Secretary

     

    Hospitality: Provides beverages and snacks for Back to School Night, PTO meetings and the 8th grade transition meeting. Maintains PTO supplies, such as coffee cups, napkins, etc.

    Hearts and Flowers: Provides recognition to staff when life events happen.

    Staff Appreciation: Perform acts of kindness throughout the school year to express appreciation for all that the staff does. Includes lunches or dinners during parent teacher conferences in Fall and Spring, treats in December, Valentine's Day treats and various meals during Staff Appreciation week in May.
